Property Assistant / Admin – CoVE Upper Mount Gravatt

We are currently looking for a motivated and organised Property Assistant/Admin to join our team and contribute to our ongoing success.
Position Overview: As a Property Assistant/Admin, you will be crucial in maintaining the efficient daily operations of our property management services. Your role will involve handling administrative tasks, supporting property management functions, and delivering outstanding customer service to residents and clients. This hands-on position is crucial to the property’s success. You will be reporting directly to the Property Manager, responsibilities include assisting with various aspects of property operations such as leasing, administration, and repair and maintenance.
Key Responsibilities:
- Provide administrative support to the property management team and handle various office tasks such as answering phones, managing emails, and conducting daily admin tasks.
- Assist with tenant enquiries or complaints in a professional manner, able to follow up with resolutions, and further feedback.
- Coordinate and support our maintenance team with maintenance requests or trade attendance.
- Prepare and process invoices, rent payments, and other financial transactions.
- Coordinate and schedule property inspections, maintenance, and other activities.
- Maintain accurate records and update property management software as needed.
- Manage property documentation, including leases, inspection reports, and correspondence.
- Assist with the onboarding of new tenants and the offboarding of departing tenants.
Qualifications:
- Proven experience in an administrative or property management role is preferred.
- Strong organisational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software; experience with Newbook software is preferred.
- Ability to multitask, work independently and manage time effectively.
- A positive attitude and a customer-focused approach.
